Applicant Privacy Notice
Last updated: July 11, 2026
This notice explains how MiraclePros handles your personal information when you apply for a position, schedule an interview, sign documents, complete a background check, or onboard as a technician through the MiraclePros Hiring Platform.
Introduction and Scope
MiraclePros ("MiraclePros," "we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Applicant Privacy Notice explains how we collect, use, disclose, and safeguard personal information on the MiraclePros Hiring Platform (the "Platform").
This notice applies to you when you:
- Apply or are considered for a position with MiraclePros
- Schedule an interview or appointment through our booking pages
- Review, complete, or electronically sign documents we send you
- Complete a background check as part of the hiring process
- Complete a technician onboarding profile after receiving an offer
The Platform is directed to job applicants and candidates in the United States. If you use MiraclePros as a customer or use the MiraclePros mobile application, the MiraclePros Privacy Policy governs that use instead of this notice.
Information We Collect
Application and Contact Information
When you apply or are referred to us, we collect your full name, email address, phone number, ZIP code or general location, work experience, the position or job type you are applying for, how your application reached us, and any other information you choose to include in your application or messages to us.
Interview and Scheduling Information
When you book an interview or appointment, we collect the appointment type, date, and time, along with attendance, rescheduling, and cancellation history, and our communications with you about scheduling.
Records We Create
As your application progresses, our hiring team creates records about you, such as interview notes, evaluations, status updates, and a timeline of hiring activity.
Documents and Electronic Signatures
When you complete documents on the Platform, we collect the information you enter, which depending on the document may include your electronic signature and initials, dates, and form responses such as your Social Security number, Employer Identification number, and tax or employment-eligibility information. We also collect photos, images, and file attachments you upload (for example, certifications or identification), and we store the completed signed documents.
Payment Information
Where a document includes a payment step, your payment is processed by Stripe, Inc. We receive the payment status and limited card details (such as card brand and last four digits). Full card numbers are provided directly to Stripe and are never stored on the Platform.
Technician Onboarding Information
If you complete a technician profile, we collect your name, contact details, ZIP code, driving radius, vehicle type, whether you have your own tools or a helper, skills, availability, and your SMS consent choice.
Identity Verification
Where verification is enabled for document signing, we send a one-time passcode to your phone by SMS and process it to confirm your identity. Passcodes are stored only briefly.
Information Collected Automatically
When you use the Platform, we automatically collect:
- IP address and browser or device information (user agent)
- Dates, times, and actions recorded in the document audit trail described below
- Essential cookies and session identifiers needed for the Platform to function
- Bot-protection signals processed by Cloudflare Turnstile on public forms
- Limited diagnostic and error information used to keep the Platform reliable
We do not use advertising cookies or third-party tracking cookies on the Platform.
Background Checks and Consumer Reports
With your prior written authorization, we obtain background check reports ("consumer reports") for employment purposes through Checkr, Inc., a consumer reporting agency.
- Before any check is run, you will receive a standalone disclosure and provide written authorization, as required by the Fair Credit Reporting Act (FCRA).
- Sensitive details needed to run the check — such as your Social Security number, date of birth, and driver's license number — are entered by you directly into Checkr's secure portal. We receive the resulting report and its status.
- If we consider taking adverse action based in whole or in part on a consumer report, you will first receive a pre-adverse action notice that includes a copy of the report and "A Summary of Your Rights Under the Fair Credit Reporting Act," and you will have an opportunity to respond.
- You may request a copy of your report from Checkr at any time and dispute incomplete or inaccurate information directly with Checkr.
Checkr's handling of your information is described in its privacy policy at checkr.com/privacy-policy.
How We Use Your Information
We use the information we collect to:
- Process your application and evaluate your qualifications
- Schedule and conduct interviews and send appointment reminders
- Communicate with you by email, SMS, and phone about your application
- Prepare, deliver, and execute offer, employment, and onboarding documents
- Verify your identity and establish the validity of electronic signatures
- Process payments, where a document includes a payment step
- Order background checks, with your authorization
- Onboard you as a technician if you are hired, including creating your work profile in WorkHub, our scheduling and dispatch platform
- Maintain employment and hiring records required by law
- Secure the Platform and prevent fraud and abuse
- Comply with legal obligations and resolve disputes
We use your information solely for hiring, onboarding, and related employment purposes. We do not use it for advertising, and hiring decisions are made by people — we do not use automated decision-making that produces legal or similarly significant effects without human review.
Electronic Signatures and Audit Trail
When you sign documents electronically on the Platform, you do so under the federal Electronic Signatures in Global and National Commerce Act (E-SIGN) and applicable state electronic transaction laws. Your electronic signature is legally binding, and you may request a paper copy of any document you sign by contacting us.
To establish the authenticity and integrity of signed documents, the Platform maintains an audit trail for each document, which records:
- The IP address and browser or device information of each participant
- The date and time of each event, such as when a document is viewed, signed, or completed
- Identity-verification steps completed, such as SMS one-time passcode verification, where enabled
Completed documents are locked against modification, and the audit trail is retained with the signed document as part of your hiring or employment record.
SMS Messaging and Consent
With your consent, MiraclePros may contact you by SMS text message in connection with the hiring process, including interview scheduling and reminders, document signing links and verification codes, background check reminders, and job offer, onboarding, dispatch, and other operational communications. Message frequency varies. Message and data rates may apply.
You may opt out of SMS messages at any time by replying "STOP" to any message. For help, reply "HELP" or contact us at [email protected] or (469) 905-9535. Opting out may delay time-sensitive hiring communications; we may still contact you by email or phone.
Your mobile phone number and SMS consent status will not be sold or shared with third parties or affiliates for promotional or marketing purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We will not share your opt-in to an SMS campaign with any third party for purposes unrelated to providing you with the services of that campaign. We may share your personal data, including your SMS opt-in or consent status, with vendors that help us deliver text messages, including but not limited to platform providers and phone companies.
Data Security
We implement administrative, technical, and physical safeguards designed to protect your personal information, including:
- TLS/SSL encryption for data in transit
- Role-based access controls that limit candidate records to assigned, authorized staff
- SMS one-time passcode identity verification for document signing, where enabled
- Signed documents locked and protected against modification after completion
- Verification codes stored only briefly, and sessions that expire automatically
- Security monitoring, logging, and error tracking
No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by applicable law.
Data Retention
We retain personal information only as long as needed for the purposes described in this notice and to meet legal obligations:
- Application records (candidates not hired): at least one year from the hiring decision, as required by federal equal-employment recordkeeping rules, and generally no longer than two years
- Records of hired candidates: for the duration of the working relationship, plus the retention periods required by employment, tax, and other applicable laws
- Signed documents and audit trails: for as long as required to maintain valid employment and contractual records, generally three to seven years after the relationship ends
- Background check records: as required by the FCRA and applicable state law
- Payment records: as required for tax and accounting purposes
- SMS verification codes: minutes, then automatically deleted
- Technical and diagnostic data: typically 90 days, unless needed for a security investigation
When information is no longer required, we delete it or de-identify it.
Your Rights and Choices
Subject to applicable law, you may:
- Request access to, or a copy of, the personal information we hold about you
- Request correction of inaccurate or incomplete information
- Request deletion of your personal information, subject to the retention requirements described above
- Opt out of SMS messages at any time by replying STOP
- Decline to authorize a background check, although declining may affect our ability to complete your application
To exercise any of these rights, contact us at [email protected] or (469) 905-9535. We will verify your identity before acting on a request and will respond within the time required by applicable law. We will not retaliate or discriminate against you for exercising your privacy rights.
California Privacy Rights (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), applies to the personal information we collect about you as a job applicant. In the preceding 12 months, we have collected the following categories of personal information, as described in "Information We Collect":
- Identifiers — name, email address, phone number, IP address
- Professional or employment-related information — work experience, position applied for, interview records and evaluations
- Sensitive personal information — Social Security number and other government identifiers, where required on employment documents
- Financial information — limited payment details, where a document includes a payment step
- Audio, electronic, or visual information — photos and files you upload, and your electronic signature
- Coarse geolocation data — the ZIP code and service area you provide
- Internet or other electronic network activity — limited technical information such as the document audit trail
We collect this information for the hiring purposes described in this notice, retain it as described in "Data Retention," and do not sell it or share it for cross-context behavioral advertising. We use sensitive personal information only for purposes permitted by the CCPA, such as completing employment documents, conducting authorized background checks, and complying with law.
California residents have the right to know, access, correct, and delete their personal information, to limit the use of sensitive personal information, and to be free from discrimination or retaliation for exercising these rights. You may exercise these rights, or authorize an agent to act on your behalf, by contacting [email protected] or (469) 905-9535.
Age Requirement
The Platform is intended for individuals who are at least 18 years old and eligible to work. We do not knowingly collect personal information from anyone under 18. If you believe we have collected information from a minor, please contact us immediately and we will delete it.
Third-Party Services
Some steps in the hiring process take place on services operated by third parties — for example, completing a background check on Checkr's portal or entering payment details in a Stripe payment form. Those services are governed by their own privacy policies, which we encourage you to review:
- Checkr — checkr.com/privacy-policy
- Stripe — stripe.com/privacy
- OpenStreetMap — osmfoundation.org/wiki/Privacy_Policy
